Security for Private Health Information (PHI) transmitted by Denman via email is now protected through the use of “ZixMail.” ZixMail, a leading provider of electronic encryption services, assists hundreds of major insurance and health care companies in this vital security role. An abbreviated list of ZixMail customers/users is available via the link below.
When it is necessary for Denman to transmit PHI via email, it will be sent through the ZixMail secure email system. Recipients will receive an email notice that a secure email is available and will be provided a link to click on to retrieve it. That link to ZixMail will require a one-time “sign in” with the recipients providing their email address and choosing a personal password. Subsequent secure email retrievals will only require entry of the password (if you forget your password, don’t worry, you will be given the opportunity to select a new one). Access to the secure email is thereby enabled and email(s) and attachment(s) can then be viewed, replied to securely and downloaded.
Instructions are provided along the way, but don’t hesitate to call the Denman team if you have any trouble opening messages. Note that if a recipient has an existing ZixMail log-in and password, it will also work for retrieving secure DGCO email. Normal email procedures will continue to be used by Denman for the vast majority of correspondence in which PHI is not involved. HIPAA’s Security Rules are generally effective 4/21/05 for “larger” plans (>$5 million in annual receipts) and for all other health plans as of 4/21/06. Plans, employer plan sponsors, and their Business Associates are encouraged to review the security of their internal and external email processes and update them as may be necessary.
